A recruiting VA should record each statistic with its season, unit, source, and review date before copying it into profiles or coach outreach.
Define the statistic precisely
A label such as goals, starts, innings, race time, or vertical jump needs a season, competition level, and unit. Do not combine school and club results unless the display explains the combination.
Choose the strongest available source
Use an official results page, team record, meet file, or direct confirmation from the responsible coach where possible. Social captions and memory can point to a source but should not replace it.
Preserve the original value
Record what the source shows before rounding, converting, or summarizing. If a platform requires a different format, keep the transformation beside the original value.
Reconcile conflicts openly
When two sources disagree, do not select the better number. Check dates and definitions, ask the source owner, and leave the public field unchanged until the conflict is resolved.
Update every approved destination
Use a checklist for profiles, recruiting sheets, video cards, and active message templates. A corrected number should not remain wrong in a forgotten attachment.
Keep an audit trail
Record updater, date, source, prior value, and new value. The trail makes later correction straightforward and prevents the family from debating which version was sent.
