Tournament weekends are expensive and short. Families often spend them walking between fields hoping to spot a coach, while other programs are watching a different age group or have already left.
An attendance list narrows the plan. It records which programs are likely to attend, which coach is coming, and which games matter.
Check the published coach list
Many tournaments publish a coach attendance list, sometimes weeks before the event and sometimes only in an app. Save the list with the date it was published.
Attendance changes. A coach listed on Tuesday may be reassigned by Friday. Recheck the list the day before the tournament.
Match coaches to the athlete's games
Build a simple grid: game time, field, program, coach, and priority. Mark the games where a target coach is likely to be present.
Prioritize programs that have shown interest or that fit the athlete's level. A list of forty programs is not a plan; a list of eight is.
Prepare a short introduction
If the tournament allows contact, have a brief introduction ready: name, graduation year, position, team, and a specific reason for interest in the program. Keep it under thirty seconds.
Do not hand a coach a full resume at the field. Offer a QR code or a short link to the profile and film, and ask whether they would like the season schedule.
Record the interaction
After each conversation, note the date, coach, program, what was said, and any follow-up. Do this between games, not at the end of the weekend.
Memory compresses a three-day event into a blur. The notes become the input for the follow-up emails on Monday.
Follow up within two days
Send a short email to each coach who expressed interest. Reference the game and the conversation, include the film link, and ask one clear question.
If a coach was listed but not seen, do not assume disinterest. Send a brief note with the film and ask whether they would like to see the athlete at a future event.
Review the list after the event
Note which programs actually attended, which replied, and which moved to the next stage. Update the program map and the outreach log.
The attendance list is a planning tool, not a guarantee. Its value is that it stops the family from spending a weekend chasing programs that were never there.
