A recruiting VA can organize travel and itinerary details while the athlete and family retain control of consent, program questions, and the final school decision.

Define the booking boundary

State whether the VA may research options, hold a reservation, or complete a purchase after approval. No itinerary should imply that the athlete accepted a visit before the athlete has done so.

Use the official visit contact

Confirm the athletics staff member or campus office responsible for the itinerary. Save direct messages and avoid relying on an unofficial schedule forwarded without context.

Build around athlete obligations

Compare classes, competitions, recovery, family rules, and travel time before proposing dates. The VA can find conflicts, but should not decide which obligation the athlete will miss.

Keep identity documents restricted

Share only the traveler information needed for the authorized task. Passport, medical, payment, and student identifiers should remain in family-controlled systems whenever possible.

Mark confirmed and tentative items

Flights, meetings, tours, meals, workouts, and host arrangements can change at different times. Status labels prevent a draft itinerary from being mistaken for a promise.

Prepare an athlete-facing summary

Give the athlete contacts, timing, locations, clothing or equipment needs, and unanswered questions in one page. Leave vendor research and internal task notes out of that version.
